WHO WE ARE
Rother Valley IT (formerly Tech Hallam) is run by Mark Lawton, a sole trader based at 40 Millstone Drive, Aston, Sheffield S26 2EQ. We’re responsible for looking after any personal information you give us. We’ve registered with the Information Commissioner’s Office.
If you have any questions about your information, please email help@rothervalleyit.com or call 07765 079800.
WHAT WE COLLECT
- When you get in touch: your name and contact details, and whatever you tell us about your problem. This applies whether you contact us by phone, text, WhatsApp, email or a form on our website.
- When you ask us to email you a guide: your name and email address.
- When you register interest in our support plans: your name, email address, and optionally your phone number, how many computers you have and any comments.
- When you become a customer: your address, details of your computers and other devices (such as make, model and serial number), notes on the work we do, health check reports, invoices and payment records.
- While we’re helping you, remotely or at your home, we may see information on your devices, such as files, emails and photos. We only look at what’s needed for the job. We only copy anything when the job requires it, for example a data transfer or recovery.
- When you visit our website: basic statistics about how the site is used (see Cookies, below).
WHY WE USE IT
- To provide the services you ask for, and to reply to your enquiries.
- To keep proper records for tax and accounting, as the law requires.
- To support you in future. Keeping a record of your devices and past work helps us help you faster next time. This is in our legitimate interests, and yours.
- To let customers know about our own services. We may occasionally write to or email you about services we think you’d find useful, such as our support plans. If you’d rather not hear from us, just tell us and we’ll stop. We’ll never send marketing to anyone who has asked us not to.
- To understand how our website is used, so we can improve it.
We never sell your information or share it with anyone for their own marketing.
WHO WE SHARE IT WITH
We use a small number of trusted services to run the business. They only handle your information on our behalf:
- Hostinger: website hosting
- Zoho: email
- Airtable: customer records
- Google and Microsoft: cloud storage and office services we sometimes use for customer files and records. We also use Google for website statistics.
- QuickFile: accounts
- SumUp: card payments
- Our bank
- Microsoft Quick Assist and Google Chrome Remote Desktop: remote support connections
If you agree to it, we may also pass a device to a specialist, such as a data recovery company. We may also share information where the law requires it, for example with HMRC.
Some of these services store data outside the UK, such as Airtable in the United States. Where they do, they use safeguards approved under UK law.
HOW LONG WE KEEP IT
- Emails and enquiries, including those that don’t lead to any work: we keep these for as long as they may be useful, for example if you get in touch again, and we review them from time to time.
- Customer records: for 6 years after the last work we did for you, so we can support you if you come back.
- Invoices and financial records: for at least 6 years, as HMRC requires.
- Anything copied from your devices: deleted once the job is finished, and no later than 90 days afterwards. If you’d like it deleted sooner or kept longer, just let us know.
- Support plan interest: until shortly after the plans launch, unless you join or ask us to remove you sooner.
If you’d like us to delete your information sooner, just ask (see Your rights, below).
PASSWORDS
We only record a password if we have to, for example if we’re working on your device while you’re not there. We never keep it once the work is complete.
YOUR RIGHTS
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that’s wrong
- delete your information (except records we must keep by law)
- stop or limit how we use it, including stopping any marketing
If you’ve given consent for something, such as hearing about support plans, you can withdraw it at any time. We’ll respond within one month.
COOKIES
Our website uses Google Analytics to count visits and see which pages are useful. This is for statistics only, not advertising. You can opt out at any time by installing Google’s free Analytics opt-out browser add-on. If you log in to manage the website, WordPress also uses essential cookies to keep you signed in.
COMPLAINTS
If you’re unhappy with how we’ve handled your information, please tell us first and we’ll put it right. We’ll acknowledge your complaint within 30 days.
You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
